We are seeking an organised and detail-oriented Pre-Construction Administrator to support our pre-construction team in managing project development from inception through construction commencement. The successful candidate will assist with the preparation, coordination, and documentation of pre-construction activities, ensuring that all necessary requirements are met for a smooth transition into the construction phase. This role requires strong communication, multitasking, and administrative skills to collaborate effectively with various stakeholders, including project managers.

Skills and Experience Required:

  • Excellent organisational and multitasking skills with strong attention to detail
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and project management software
  • Strong written and verbal communication skills
  • Ability to prioritise tasks and meet deadlines in a fast-paced environment
  • The appropriate candidate must be confident when liaising with colleagues and other stakeholders

General Duties

  • Project Documentation Management:
    • Assist in preparing and maintaining all pre-construction documentation, including contracts, permits, drawings, and specifications
    • Track and manage project timelines, ensuring all documentation and submissions meet deadlines
    • Organize and manage electronic and paper filing systems for efficient project data retrieval
  • Budget and Cost Tracking:
    • Collaborate with project managers and estimators to track pre-construction budgets and monitor expenditures
    • Prepare and distribute cost reports and financial summaries as needed
    • Assist in obtaining quotes and pricing from vendors and subcontractors
  • Permit and Regulatory Compliance:
    • Coordinate with local municipalities and agencies to ensure timely acquisition of permits and approvals
    • Track and maintain compliance with regulatory requirements, including safety and environmental standards
  • Communication and Coordination:
    • Act as a liaison between internal teams, clients, and external stakeholders to ensure the flow of information is accurate and timely
    • Schedule and coordinate pre-construction meetings, preparing agendas and documenting meeting minutes
    • Provide general administrative support to the pre-construction team, including managing correspondence and scheduling
