Role Description

The document controller is responsible for managing the document control process within JSM. This role involves ensuring that all documents, records, and files are accurately and securely stored, maintained, and distributed to the relevant parties. The document controller plays a critical role in ensuring the accuracy, integrity, and accessibility of documents within an organization, supporting effective operations and compliance with regulatory requirements.

Skills and Experience Required:

  • A bachelor's degree in a relevant field, such as business administration or information management.
  • Previous experience in document control.
  • Strong knowledge of document control processes, procedures, and best practices.
  • Familiarity with electronic document management systems and software.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills, with the ability to effectively collaborate with various stakeholders.
  • Analytical and problem-solving skills to identify and resolve document control issues.
  • Proficiency in using MS Office applications, particularly Word and Excel.
  • Knowledge of relevant industry standards and regulations related to document control.
  • Ability to work under pressure and meet tight deadlines.

General Duties

  • Upholding document control procedures and standards to ensure consistency and efficiency in managing documents across the organization.
  • Managing the document control system, including the use of electronic document management software, to ensure documents are properly organized, version controlled, and easily accessible.
  • Collaborating with various departments or project teams to understand their document control needs and requirements.
  • Monitoring and enforcing compliance with document control policies and procedures.
  • Reviewing and verifying the accuracy and completeness of documents, ensuring they meet the required standards and specifications.
  • Tracking and reporting on document control metrics, such as document status, distribution, and retrieval times.
  • Coordinating the review and approval process for documents, including routing them to the appropriate stakeholders for review and ensuring timely completion.
  • Maintaining document archives and ensuring proper disposal of obsolete or outdated documents.
  • Ensure the JSM Group brand is promoted positively and proactively.
